ERPNext vs Odoo: Which Should a Kenyan SME Choose?

Both ERPNext and Odoo are mature, capable, open-source ERP platforms, and both can run accounting, inventory, sales, and HR for a growing business. We implement both. The question we get asked most isn’t “which one is better” — it’s “which one is right for us,” and the honest answer depends on a few specific things.

Where they’re genuinely similar

Core business functions — accounting, inventory, buying and selling, CRM, projects — are well covered in both platforms. Neither is meaningfully behind the other for standard business operations, and both support the kind of customization a growing company eventually needs.

Where the real differences show up

Licensing model. Odoo’s core is open-source, but a meaningful share of its useful functionality — and its official support — sits behind Odoo Enterprise licensing, which is a recurring per-user cost. ERPNext is fully open-source with no equivalent paid tier gating core functionality, which changes the total cost of ownership as a business scales its user count.

Kenyan payroll compliance. Neither platform ships with PAYE, NSSF, SHIF, or Housing Levy calculations correct out of the box, because neither was built for the Kenyan market specifically. This is true regardless of which platform you choose — it’s a localization layer that has to be built properly on top, and the quality of that layer matters more than which base platform it sits on.

Customization philosophy. Odoo’s module system is powerful but its upgrade path can be harder to manage once you’ve customized heavily, since customizations can conflict with Odoo’s own version upgrades. ERPNext’s structure tends to be more forgiving for deep customization without fighting future upgrades, which matters if your business processes are unusual enough to need real configuration, not just settings toggles.

The question we actually ask clients

Before recommending either platform, we ask three things:

1. How many users, realistically, in two years? This determines whether Odoo’s per-user Enterprise licensing stays cheap or becomes a real cost line.
2. Do you need correct Kenyan payroll from day one? If yes, this is less about the base platform and more about whether the compliance layer on top is built properly — which is exactly why we built RoyceERP on ERPNext rather than treating compliance as an afterthought.
3. How much are you likely to customize beyond standard modules? Heavier, ongoing customization tends to favor ERPNext’s structure; lighter, standard-configuration use cases work fine on either.
